The challenge

Before engaging Corpshore, medical records administration, appointment scheduling and billing support were split across each hospital's own small back-office teams. Practices varied site to site, scheduling errors and double-bookings were common during peak referral periods, and billing queries routinely took over a week to resolve because no single team held full visibility across a patient's records, appointments and accounts.

What Corpshore did

The Brisbane team began as a five-person pilot covering one hospital's medical records and scheduling function, then scaled to fifteen over eight months as billing support and a second, then third hospital were added. The team includes a mix of medical records administrators, scheduling coordinators and billing specialists, with rostering built around each hospital's operating hours rather than an offshore time zone. This was a deliberate choice by the client, not a default: the network wanted medical records and billing information handled by a team physically and legally within Australia, given the sensitivity of health information and the network's own clinical governance obligations.

Compliance handling

Health information is among the most sensitive categories of personal information under the Privacy Act 1988 and the Australian Privacy Principles, and the hospital network remains fully responsible for that compliance regardless of who performs the administrative work, in the same way a registered NDIS provider stays accountable for outsourced admin functions. Keeping the work onshore removed the cross-border disclosure question under APP 8 entirely, since no health information leaves Australia, though the network still required the same access controls, audit logging and role-based permissions it would have required of an internal team. As onshore Corpshore employees, the team is engaged under the applicable Fair Work Act award classification and National Employment Standards entitlements. Corpshore's security practices are aligned with the Essential Eight framework, presented to the client as an alignment posture rather than a certified maturity level.

Average appointment scheduling turnaround fell from three business days to same-day for most referral types. Billing enquiry resolution time dropped from an average of eight business days to under two. The network estimates administrative cost is down by around 22 percent across the three hospitals now supported, a smaller figure than an offshore arrangement would typically produce, which the network considers a reasonable trade-off for keeping patient health information onshore and for the scheduling flexibility of a local team working the same hours as its own clinical staff.
