Donor services and appeal-season back-office support for a national health charity
The challenge
Before engaging Corpshore, the charity's small internal donor services team could keep pace with donor database maintenance and receipting during quiet months, but the appeal season each November and December produced a volume spike the team could not absorb. Receipts fell behind, some donors received duplicate or incorrect acknowledgement letters, and pledge and direct-debit records built up a backlog that took the internal team until February or March to fully clear.
What Corpshore did
The team started at four people eight weeks ahead of the appeal season, focused on clearing the prior year's backlog and building familiarity with the charity's donor segmentation and receipting rules. It scaled to twelve through the November to January peak to match appeal volumes, then settled back to a steady-state team of five for the rest of the year covering regular giving, bequest administration support and data hygiene work. The Manila team works inside the charity's own CRM, processing donations, issuing tax receipts, updating donor records and handling routine donor enquiries that don't require a decision from the charity's own staff, such as address changes or receipt reissues.

Compliance handling
Donor records are personal information under the Privacy Act 1988, and receipting work also touches financial transaction data, so the engagement was structured around APP 8's requirement to take reasonable steps before disclosing that information to an overseas recipient, with the charity retaining accountability for any APP breach regardless of where the work is performed. Given the charity's turnover, it also falls squarely within the Notifiable Data Breaches scheme, so incident reporting obligations and a 30-day assessment clock for any suspected eligible data breach were built into the operating procedures from day one. The charity was also clear that donor trust, not just legal compliance, was the real stake: donors who feel their giving history has been mishandled don't give again, so access controls, audit logging and a strict no-marketing-use rule for donor data sit on top of the baseline privacy obligations.

Receipting turnaround during appeal season improved from an average of nine business days to two. The backlog that used to take until March to clear was fully processed by the second week of January. Overall donor services and back-office cost is down by around 52 percent compared with hiring a seasonal in-house team of the same size, even after accounting for management time on the Corpshore relationship.
